Overall purpose and responsibilities of the role:

The Executive / Personal Assistant is responsible in handling all complex tasks and takes overall responsibility for the quality of the service experience, in areas such as Travel Management, Expense Management, and Research

Duties and Responsibilities:

The Executive Assistant to the CEO is responsible and accountable for the following (but not limited to):

  • Calendar management – organizing and scheduling meetings and appointments; liaising with customers, and internal and external parties to arrange the same
  • Build strong business relationships with your clients by ensuring high quality of work on all tasks, regardless of who worked on it.
  • Build relations with Customers, Partners, Share- and holders
  • Ensure timely and high-quality resolution of all tasks
  • Manage resources through proper delegation and monitoring of work quality.
  • Effectively manage the day to day work, primarily focused on task resolution, and time management
  • Ensure the quality of work of all staff on all client-related tasks.
  • Ensure that the client’s preferences and information are captured and stored securely
  • Documenting meetings and discussions
  • Project management, monitoring and follow up
  • Research and summarizing findings
  • Prepare presentations, reports, and writeups, drafting letters and documents
  • Proofreading on important content
  • Expense reporting
  • Make travel, dining and accommodation arrangements amongst other
  • Answers and screening calls or general inquiries
  • Sorting, routing, and answering mail and email correspondences
  • Filing and retrieving corporate records, documents, and reports
  • Prepare and coordinate board meetings
  • Performs any other duties as requested by CIO

Skills/Qualifications:

  • Educated to a minimum standard equivalent to bachelor’s degree level
  • Two or more years work experience as an executive or administrative assistant, or similar role
  • A high level of spoken and written business English: the ability to use the language fluently and accurately on all levels and as normally pertinent to professional needs, can understand and participate in any conversations within the range of own personal and professional experience with a high degree of fluency and precision of vocabulary and makes only quite rare and minor errors of pronunciation and grammar.
  • Excellent time management skills: knows how to prioritize work, and is able to multi-task to get things done in an efficient manner
  • Can handle research, preparation of presentations, data entry, maintenance, and monitoring of memberships, online accounts, bills payables.
  • Proficiency in MS Office and web-based applications
  • Experience with booking travel
  • Digitally savvy with an aptitude to learn new software and systems
